Australian Tax Invoices: The GST Rules Your Invoices Need to Survive

September 2026 ยท 7 min read

โš–๏ธ Not tax advice. This article is general information. GST rules and thresholds change โ€” always confirm current requirements with the ATO's official guidance or your accountant before relying on any of it.

If you run an Australian business, "tax invoice" and "GST" get thrown around a lot โ€” usually right before someone asks you for a document that actually satisfies the ATO. The good news: it's not complicated once you know the handful of things a tax invoice has to show. The other good news: you don't need accounting software to produce one. This page is general guidance, not tax advice โ€” rules change and your situation may be special, so treat the ATO's own pages as the final word and your accountant as the referee.

When you need a tax invoice at all

You only deal with tax invoices if you're registered for GST (or are claiming an input tax credit from a supplier who is). Registration is compulsory once your turnover crosses the threshold โ€” commonly around $75,000 a year, though there are exceptions and the figure is always worth confirming with the ATO before you rely on it. Below that, you can still choose to register, which is how many small operators end up needing to issue tax invoices for the first time.

What a tax invoice has to show

The ATO publishes the full checklist, but the essentials don't change:

  • Your ABN โ€” without it, the document isn't a valid tax invoice and your customer can't claim the GST credit.
  • The words "tax invoice" โ€” not "invoice", not "receipt". Put it in the title so it's obvious.
  • The GST amount โ€” shown separately, or the total with "includes GST" if the price is GST-inclusive.
  • Who's selling and who's buying โ€” your identity (usually name or business name plus address) and the recipient's.
  • What was supplied and when โ€” description, quantity, and the date of issue.

For smaller sales there are lighter rules (a "simplified tax invoice" doesn't need every field), and for very small amounts you may not need one at all โ€” the ATO's simplified-invoice thresholds tell you exactly when that applies.

The usual traps

  • GST at 10% on top of prices โ€” if your quoted prices are GST-inclusive, say so, or your "10% on top" conversation becomes an awkward 10% discount conversation.
  • Rates that aren't 10% โ€” some supplies are GST-free or input-taxed (exports, certain food and health items, residential rent). If you're not sure your sale is ordinary taxable supply, check before you print "includes GST" on everything.
  • ABN errors โ€” a typo in the ABN quietly invalidates the invoice. Double-check it against your ABN record.
  • Recipient-created invoices โ€” in specific industries the buyer issues the tax invoice instead. It's a real thing, but it needs a special arrangement in place โ€” don't adopt it casually.

How to create one with SleekKitBox

  1. Open the GST Invoice (Australia) template.
  2. Enter your business name and ABN, the client, the date and your item lines.
  3. Put 10 in the GST rate field โ€” the form adds the tax onto your line totals for you.
  4. Download the PDF. Need a copy for your records or to email your accountant? SleekKitBox can also password-protect the PDF if you'd rather keep the file locked down.

Once you're registered, the habit that saves the most pain is simple: never let a document called an invoice leave your business without checking the ABN and the GST line. Two fields, checked every time, and your customers' accountants will quietly love you.

Frequently asked questions

Do I need to show GST separately? Either show the GST amount on its own, or show the total and write "total includes GST". Pick one and be consistent.

Is a receipt the same as a tax invoice? No. A receipt confirms payment; a tax invoice is the document your customer needs to claim GST credits. For taxable sales over the threshold, send both if asked.

What if I'm not registered โ€” can I still use this template? Sure, but don't call the result a tax invoice and don't add GST. You can use it as a regular invoice with your ABN on it if you have one.

Where do I confirm the current rules? The ATO's tax-invoice pages are the authority; for anything borderline, that conversation with your accountant is cheaper than a BAS adjustment later.
