Auto Repair Work Orders: Record the Complaint, Work and Approval

A clear work order can record the vehicle, customer-reported concern, proposed work, estimates and approvals. It may help people review what happened, but it cannot prevent a dispute or replace the estimate, authorization, notices and records required for a repair in a particular location. Record the vehicle, not just the customer

The vehicle block is what separates a work order from an invoice. Year, make, model, VIN, plate, mileage in and fuel level. Mileage in matters twice: it justifies the service interval you worked to, and it settles "this car has not moved since you had it". A line about pre-existing damage costs ten seconds at check-in and saves an afternoon later.

Write the complaint in the customer's words

Record the customer's description separately from a technician's diagnosis. A reported concern does not by itself define the approved work. Follow local estimate and authorization requirements before performing additional repairs.

Labor and parts belong on separate tables

Separate lines for labor, parts and fees can make the charges easier to review. Describe the pricing basis and amounts accurately, and disclose fees and any parts markup as required by the agreement and local rules.

• Labor — flag, operation, flat-rate hours, your shop rate. The amount is hours × rate.
• Parts — part number, description, quantity, unit price.
• Other charges — list applicable shop supplies, disposal or other fees with any disclosure required for the repair.

The flag column is for the customer's benefit

Most shops mark each labor line with a code — C for the reported complaint, R for a repair you found, W for warranty work, G for good/no fault found. It is how a customer reads the order without phoning you: "the grinding was the pads (C → R), and while it was up the tie rod was fine (G)." Use whatever codes your shop already uses; the column is free text.

Set the authorisation limit before the car goes on the lift

If your process allows a spending limit, record the amount and what it covers, then obtain approval in the form and at the time required where the repair takes place. The optional checkbox in this template is not a substitute for required estimate forms, disclosures or authorization procedures.

What if the job needs more lines? Eight labor and eight parts lines fit, and anything longer flows onto a second page with the table header repeated.

Do parts and labor get taxed the same? Tax treatment depends on the location and transaction. This template applies one rate to the whole order; if different parts of a repair have different tax treatment, verify whether you need a different calculation or document.

Is this a warranty? No. The work order says on itself that it is a workshop and billing record, not a warranty, safety certification or legal advice.

Is it enough on its own in my state? It is a general workshop record, not a complete state-specific repair order. Estimate, authorization, consumer-notice, licensing and record rules vary by location and service. Check the rules for the shop location and use any required forms before relying on this template.
