The Debit Note: Asking for More Money Without the Awkwardness

September 2026 ยท 6 min read

Asking a customer for more money after you've invoiced them is uncomfortable โ€” unless you've got the right document. A debit note exists for exactly that: it's a formal notice that the amount a customer owes has gone up. Used properly, it turns "we need more money, sorry" into a clean, referenceable business transaction.

Debit note vs credit note in one breath

A credit note reduces what a customer owes; a debit note increases it. Credit notes handle returns and overcharges; debit notes handle underbilling, extra work and charges you forgot. Same family, opposite direction โ€” and they should never be used interchangeably, because your tax records will eventually expose the mix-up.

When a debit note is the right move

  • Underbilling โ€” you discovered the original invoice was too low.
  • Extra work or costs โ€” changes requested after the invoice that weren't included in the price.
  • Corrections in your favour โ€” an error that short-changed you, not the customer.

One honest note: if the extra charge comes as a surprise, a debit note is a document, not a shield. It works best when the customer already knows the charge is coming โ€” agree scope changes before invoicing them, and the debit note is just the paperwork.

What to put on it

  • The original invoice it refers to โ€” number and date. An unreferenced debit note is an invoice-shaped mystery.
  • Why the amount changed โ€” "additional 5 hours of development", "extra delivery charge". The reason is the whole point of the document.
  • The new amount due โ€” and whether it's payable with the original balance or on its own terms.
  • Date, your details and the customer's โ€” the same header you use on invoices.

How to create yours with SleekKitBox

  1. Open the Debit Note template.
  2. Reference the original invoice number and date, and describe the correction.
  3. Add the extra amount and download the PDF.

If you end up issuing debit notes to the same client often, agree on how extra work gets approved before it happens โ€” your invoice templates can then carry the agreed terms from the start.

Frequently asked questions

Is a debit note an invoice? Functionally it charges the customer, but keep it labelled "debit note" and referenced to the original invoice โ€” mixing labels muddies your records.

Can a debit note be negative? If you owe the customer money back, that's a credit note's job. Debit notes only increase what's owed.

Does tax apply the same way? A debit note adjusts the value of a taxable supply, so tax treatment generally follows the original invoice โ€” but how your country handles adjustments varies, so confirm with your accountant before you rely on one.
