Handyman Invoices: Bill the Job, Not the Vague Description

"Repairs, $260" is the invoice that gets questioned. The client remembers a shorter visit, the parts seem high, and the payment waits until someone has time to call you about it. A good handyman invoice shows what you did, what you bought, how long it took, and when it's due — so there's nothing left to argue about. Here's what to put on it; the template handles the layout, including a drawn signature on the PDF.

Put labour and parts on separate lines

This is the single biggest difference between an invoice that gets paid and one that gets questioned. When parts are buried inside one lump figure, the client is guessing at your margin. Split them:

• Line 1 — labour: "Install ceiling fan — 1.5 hrs" × your hourly rate.
• Line 2 — materials: "Materials: fan box, wiring, mounting bracket" × 1 at what you paid.
• Line 3 — call-out or travel if you charge one.

The form fits three lines, which is enough for most jobs. Bigger material spend? Bundle it into one line — "Materials (receipts available on request)" — rather than crowding out your labour.

Hourly or flat — show the math either way

Hourly: qty = hours on site, unit price = your rate. Flat: qty = 1, unit price = the agreed fee. For a flat job, still write what's included in the description ("Mount 2 TVs + conceal cabling, brackets supplied by client"). The scope is what stops "but I thought you'd also…".

Job site address is not the billing address

You repaired a rental but bill the landlord. You fixed an office but invoice the head office. Landlords and property managers pay faster when the invoice names the property where the work actually happened — and it saves you when a client has three houses. Quote before the job, invoice after

For work that needs advance pricing, send a service estimate with the scope and any validity period, then invoice in line with the agreed terms. A written estimate and approval record can help clarify expectations, but it cannot guarantee that no disagreement will arise.

Tax — only if you're registered to collect it

Whether repair services are taxable, and whether you must register or collect tax, depends on the jurisdiction, the work performed and your business circumstances. Check the rules for the transaction before choosing a rate; entering 0 does not determine that no tax is due. This template is not tax advice.

Quick answers

Can I mark up parts? Pricing and disclosure rules vary by location and agreement. If you charge a markup or handling fee, describe it clearly and confirm it was disclosed and agreed as required for the job.

What if the job ran long? Invoice the hours you actually worked and note why in the Notes field ("extra 1 hr — corroded fittings"). A surprise on the invoice is bad; a surprise you explained is usually fine.

Do I need a signature? Invoice-signature rules and the effect of an electronic signature vary by jurisdiction and transaction. This invoice layout does not replace a work authorization or contract where one is required.
