Lawn Care Invoices: Bill the Season Without Chasing Clients

Most of your revenue is repeat โ the same six houses, cut every week from April to October. That's the trap: billing drifts into "I'll send it at the end of the month" and the number stops matching anything the client can verify. A lawn care invoice names the property, the service, the visits and the date, and it keeps a repeat client from ever having a reason to delay. Here's what to include; the template handles the layout, including a drawn signature on the PDF.
Per visit or per month โ pick one and be consistent
- Per visit โ qty = 1, unit price = your cut rate. Good for one-offs and seasonal cleanups.
- Monthly โ qty = visits in that month, unit price = the per-visit rate. Four cuts at $45 reads as $180 with the math shown.
- Package โ qty = 1, unit price = the agreed monthly rate. Simplest for the client, but say what's inside it.
Whichever you choose, use the same structure every month. Clients pay recurring invoices faster when the number is recognisable โ the month you change the format is the month you get a phone call.
Record the property size once
"Mow, edge and blow โ 0.3 acre, front + back, gates locked" tells the client why this property costs more than the neighbour's, and it's your justification when you raise prices in year two. Put it in the service description. The template has a separate Property Address field so the invoice always names the lawn that was actually serviced โ important for landlords and property managers who pay on several properties.
Rain-outs and skipped visits: write them down
A short month looks like a mistake unless you explain it. One line in Notes โ "Two visits cancelled by rain (May 12, May 19)" โ turns a query into a non-event. It also protects you the other way, when a wet April pushed you into extra cuts later in the season.
Bill add-on work as its own line
Fertilization, aeration, leaf removal and hedge trimming usually price differently from a standard cut. Give each its own line item so the client can see what they're paying for, and so a rising season doesn't look like an unexplained jump in one number.
Tax โ only if you're registered to collect it
Whether lawn and grounds services are taxable, and whether you must register or collect tax, depends on the jurisdiction, the work performed and your business circumstances. Check the rules for the transaction before choosing a rate; entering 0 does not determine that no tax is due. This template is not tax advice.
