Pet Grooming Invoices: Bill by the Pet, Not by the Day

A grooming invoice has one job: make the charge obvious to someone who dropped off a dog that came home looking completely different. "Grooming — $95" doesn't do that. "Bella — cockapoo, full groom, de-matting extra" does. Owners keep records by pet, not by date, and a de-matted coat takes twice the time you quoted. Write the invoice for the person reading it six weeks later. The template handles the layout, including a drawn signature on the PDF.

Put the pet on the line item

Name, breed and the service — that is the whole line:

• "Bella — cockapoo, full groom" × 1 at your small-dog rate.
• "Max — golden retriever, bath, blow-dry & nail trim" × 1.
• Two dogs from one household? One line each, or qty = 2 at your per-pet rate.

The form fits three lines, which covers most invoices; for a busy day, bill per visit rather than lumping several pets into one figure.

Charge de-matting as its own line

A matted coat can require work beyond the booked service. Listing any agreed extra charge separately can make the invoice easier to review and keeps the base rate visible; confirm changes and prices with the owner before proceeding.

Same logic for add-ons: teeth brushing, flea bath, pawdicure, de-shedding treatment. Each one on a line the owner can see and remember agreeing to.

Mobile groomers: name where it happened

If you groom in clients' driveways, put the parking spot in Grooming Location and add a travel line when you charge a mobile fee. It also settles the "who traveled where" question on long days.

Note when the next groom is due

Repeat bookings are most of a groomer's revenue, and an invoice is the one document the owner keeps. "Next groom due in 6 weeks" in the Notes field does the work of a reminder without another text message. Use the Visit Frequency field to record the standing schedule.

Tax

Whether grooming services are taxable, and whether you must register or collect tax, depends on the jurisdiction, the service and your business circumstances. Check the rules for the transaction before choosing a rate; entering 0 does not determine that no tax is due. This template is not tax advice.
