Cleaning Invoices: Stop Losing Payments to Vague Line Items

If you run a cleaning business, most of your clients are repeat customers โ until an invoice says "cleaning service, $180" with no address, no scope, and no due date. Then payment slips to "I'll get to it next week." A clear invoice names the property, describes what you did, shows the rate, and tells them when to pay. This guide covers what to include; our template handles the layout (including an optional drawn signature on the PDF).
Flat rate or hourly โ pick one and show your math
- Flat rate โ set qty = 1 and unit price = your total (e.g. "$180 deep clean, 3 bed / 2 bath").
- Hourly โ qty = hours worked, unit price = your hourly rate (e.g. 4 ร $45/hr).
Either way, write the scope in the description: "Regular clean โ kitchen, 2 baths, living areas" beats a generic "Cleaning service" every time. Clients pay faster when they can see what they're paying for.
Service address vs billing address
You cleaned an office downtown but bill the head office across town. Or you cleaned a rental unit but invoice the landlord. List both when they differ โ our template has a separate Property / Service Address field so the client (and your records) show exactly where the work happened.
Tax โ only if you're registered to collect it
Sales tax on cleaning services varies wildly by state and country. Some jurisdictions tax residential cleaning; others don't. Only add tax if you're registered to collect it โ leave the rate at 0 otherwise. This template is not tax advice; ask your accountant what applies where you operate.
Quote first, invoice after the job
New clients? Send a service estimate before the first visit. After the work is done, invoice with the actual hours or the confirmed flat rate. Same client, same property โ less back-and-forth about "I thought it included the oven."
