Photography Invoices: Bill the Shoot Without the Awkward Follow-Up

"Photography services โ€” $1,200" is an invoice that invites a conversation you don't want to have. The client remembers two hours in a garden; you remember four hours shooting, six editing and a gallery export. A photography invoice settles that before it starts: it names the deliverables, shows what was already paid, and states when the balance is due. The template handles the layout, including a drawn signature on the PDF.

Bill deliverables, not a category

Write what the client receives:

  • Coverage + files โ€” "4 hrs event coverage, online gallery, 80 edited images".
  • Extras โ€” second shooter, drone, rush editing, extra retouching rounds.
  • Tangible items โ€” album, prints or a USB as their own line, since they are often taxed differently from the shoot itself.

Three line items is what the form holds, so bundle small add-ons into one line ("Retouching & gallery hosting") rather than leaving them off the invoice.

Deposit and balance

Most photographers take a deposit to hold the date, then bill the balance after the shoot. Invoice the balance and state the deposit received in Notes, with the amount still owed in Payment Instructions โ€” both print on the PDF. Name the location

Weddings move between venues, and corporate clients book you to several sites under one accounts payable queue. A Shoot Location field on the invoice lets the client (and you, in two years) match the document to the day. It prints on the PDF as its own line.

Give a delivery date, not just a price

The question after every shoot is "when do I get the photos?". Put it on the invoice: "Files delivered within 14 days of the shoot". It is written in one place instead of four emails, and it sets the expectation before the gallery exists.

Tax on prints

Digital files, prints and other photography services may receive different tax treatment. Whether tax is due and whether you must register or collect it depend on the jurisdiction, the transaction and your business circumstances. Quick answers

Invoice before or after the shoot? Invoice the balance after delivery; the deposit was agreed beforehand. Sending it while the shoot is fresh gets it paid faster.
